Job Summary:

The Executive Assistant to the Vice President of Sales plays a pivotal role in managing the VP's daily operations and helping drive the company's sales efforts. This position involves extensive calendar management, liaison work with different stakeholders, administrative support, and sales-related tasks. The ideal candidate will have excellent communication and interpersonal skills, superior organizational capabilities, a keen attention to detail, and the ability to multitask effectively.

Key Responsibilities:

  • Calendar Management: Manage schedules by coordinating meetings, appointments, and travel arrangements for executives to ensure smooth operations.
  • Communication: Serve as a liaison between executives, employees, clients, and other external partners, ensuring information flow is timely and accurate.
  • Administrative Support: Oversee and streamline the executive's office functions, assisting with daily administrative tasks as needed.
  • Meeting Preparation: Prepare meeting agendas, conduct relevant research, and take comprehensive meeting minutes to foster effective communication.
  • Documentation: Draft reports and create presentations, managing specific projects from inception to completion.
  • Confidentiality: Handle sensitive information with utmost discretion, respecting the confidentiality of the information and parties involved.
  • Customer Service: Address customer inquiries and complaints promptly, providing suitable solutions and alternatives to ensure high levels of customer satisfaction.
  • Sales Support: Aid the sales team with quote preparation, order processing, and client communication to boost sales efficiency.
  • Product Knowledge: Maintain updated knowledge of product information and performance to provide accurate and insightful responses to queries.
  • Sales Administration: Process sales data, progress reports, and maintain customer records, manage sales tracking tools, and compile reports.
  • Team Coordination: Coordinate with the sales team, manage schedules, file crucial documents, and communicate relevant information to foster teamwork.
  • Sales Goals: Understand and align with the company's marketing and sales strategies, and assist the sales team in achieving their objectives.

Qualifications:

  • Education: College coursework or a degree in a relevant field is preferred.
  • Experience: A minimum of 3 years of experience in a sales role is required. Prior experience in LED lighting sales is preferred.
  • Communication Skills: Excellent communication and interpersonal skills are required for maintaining effective relationships with executives, employees, and customers.
  • Organizational Skills: Strong organizational skills and a high attention to detail are essential for managing administrative tasks and coordinating schedules.
  • Technical Skills: Proficiency in Microsoft Office Suite is required. Experience with CRM software will be considered a plus.
  • Multitasking: The ability to multitask and prioritize tasks effectively is necessary to meet deadlines and manage the fast-paced needs of the sales team.
  • Team Player: A positive attitude and team-oriented mindset are essential for collaborating effectively with the sales team and other departments.
